Contractor Survey

A customer wanted a way to coordinate the contractor survey process that solicited feedback from client supervisors of the contractors back to the supervisors of the contractors. A workflow was designed to manage the Contractor Survey process on a weekly, monthly, and quarterly basis.

The system sends to the contact email of the client supervisor a link and instructions for the process. The client supervisor opens their form and supplies their information about the job performance of the contractor. Some of this information is in freeform text fields, while other aspects are in quantifiable ratings (1-5, 1-10, poor-to-excellent, etc.). Automatic form validation enforces basic checks on fields (such as all the required fields are completed). When done, the client supervisor agency clicks the Submit button.

The system then sends to the contact email of the contractor supervisor a link and instructions for the process. The employee supervisor reviews the information and refers to it during the employee evaluation process. The system graphed the quantifiable information against previous survey submissions to see trends over time. Later, this information feeds into the Contractor Annual Review.

Contractor Annual Review

Leveraging the information gathered during the Contractor Survey process, the customer wanted to manage the contractor annual review.

The contractor enters the system every workday to fill out a status report. Typically, the report consists of freeform text fields for activities of the day and planned activities for the next workday. After the contractor clicks the Submit button, the system saves the daily status and sends an email copy to the contractor supervisor.

On an annual basis, the system sends to the contact email of the contactor supervisor a link and instructions for the process. The client supervisor opens their form and reviews the trending and aggregated ratings for the contractor (managed through the Contractor Survey), and the daily status reports of the Contractor. In the contractor supervisor sections of the form, the contractor supervisor enters their evaluation of the contractor’s abilities and effectiveness.
